Conference Volunteer Overview

In exchange for discounted registration fees, GRRN has many opportunities to volunteer prior to the Recycling and Zero Waste Conference and a few opportunities to volunteer during the conference. We’ve structured the conference to maximize the opportunities for volunteer attendees.

We are most interested in volunteers who would like to help us in advance of the conference, taking care of on-the-ground logistics and helping with outreach, preparation,  and following up with speakers, registered attendees.

GRRN has actual costs for each person attending the conference, yet we are committed to structuring the event so we can accommodate those who cannot afford to attend and can exchange some of their time in return for registration fees. 

In exchange for volunteering in advance GRRN will provide:

  • $75 off 2-day conference registration in return for 6 to 8 hours of volunteer work. 
  • $175 off 2-day conference registration 10 to 12  hours of volunteer work. 
  • $225 off full conference registration for 13 to 15 hours of volunteer work
  • Complimentary conference registration for 18 hours of volunteer work. ($285 to $340 value)
  • Volunteers should be folks who would otherwise be unable to attend the conference due to budgetary or travel restrictions.
  • Positions will be filled with preference given to those who have already volunteered to work on this conference or those with compatible skills for the task.
  • Volunteers are responsible for filling out a volunteer registration form and registering for the conference.

List of Volunteering Opportunties

Volunteer Pre-Conference Duties:
Speakers, Exhibitors, Volunteers: GRRN needs help confirming speakers, and ensuring they are registered and help organizing other volunteers as well. GRRN also needs to individually contact exhibitors in order to coordinate logos, company descriptions. This task is largely comprised of emails, phone calls, the time and flexibility to contact people during business hours and good follow-through. It should be simple and easy to complete this task using small amounts of available time, but good follow-through is essential.
Outreach: GRRN needs help performing outreach for conference attendees. Involves phone calling and emailing.
Press/Media Coverage: Work with media chair, write press releases, follow-up by phone.
Conference attendee packet: GRRN needs help assembling a conference attendee packet. (No worries, it will be very low-waste!) Volunteers will work with staff on this project in exchange for registration fees.
   
On-Site Volunteer Conference Duties:
Registration Desk: We need volunteers to work registration desk, especially on Sunday and early Monday morning during peak registration traffic, help guide exhibitors to their display tables, perhaps helping them if necessary.  
Monitor Sessions: Change signage for sessions and rooms, guide people to correct room, assist moderator, pass out/collect evaluations, check badges, assist moderator as needed, quiet outside noise, help time speakers if necessary.
Audio-Visual: Make sure Power Points for each session are loaded and ready, change slideshows.
On-site Recycling/Waste Reduction: Help Recycling Coordinator service collection containers, and keep food service areas clean, organized.
